The Countdown: How to Plan a Custom Trade Show Booth in 6 Months
Show week isn't where booths are won. The 6 months before the event decide everything else. Most exhibitors see the finished structure, the spotlights, and the product displays. What they don't see is the planning that started half a year earlier. This is the countdown, month by month, from first decision to show day. 6 Months Out — Set the Foundation
Lock your goals, budget, and booth space. Everything downstream depends on these three decisions. At 6 months out we map the booth against the official show floor plan, check neighboring exhibitors, confirm aisle placement, and pin down booth dimensions before design begins. Watch for: Book late and you are choosing from whatever floor space is left.
5 Months Out — Start the Conversations
Open booth concepts and vendor discussions now. The best fabricators book up fast. We walk the client through the render, the product list, the traffic goals, and the budget line by line. By the end of this step the scope is fixed: what gets built, what gets printed, what gets rented. Watch for: Availability shrinks the longer you wait to reach out.
4 Months Out — Approve the Design
Finalize the design and sign off on scope. This is the deadline that protects your whole timeline. We build a reverse production calendar from show day, with August 27 circled, and every fabrication and approval milestone counts backward from that date. Watch for: Late approvals push everything into rush fees and freight problems.
3 Months Out — Produce the Graphics
Lock messaging and send large-format graphics into production, not still sitting in review. The full 3D render is approved, the structure plan and material list are finalized, and fabrication starts while graphics move into production in parallel. Watch for: Brand walls and product callouts need real production lead time.
2 Months Out — Lock the Logistics
Finalize your shipping plan and freight schedule before the window closes. Fabrication runs across the woodshop and the graphics studio, a mock build catches problems before anything ships, and the freight calendar gets locked. Watch for: Most exhibitors underestimate this step. It is where budgets quietly break.
1 Month Out — Confirm the Crew
Confirm labor, install crew, and the on-site schedule while there is still flexibility. We review every visitor sightline, check lighting and product placement, and make final corrections before anything is packed. Watch for: Know who builds your booth, when they arrive, and how long install takes.
2 Weeks Out — Ship and Reconfirm
Materials ship out. Freight, labor, drayage, and timing all get reconfirmed. Every panel, fixture, graphic, and display is packed into reinforced crates and tracked to the dock, with the install crew scheduled for move-in. Watch for: No surprises left to discover once you are on the show floor.
